Accounting Specialist – Project Accountant

The Accounting Specialist – Project Accountant is expected to timely process all job cost related duties as assigned by the Project Accounting Manager including but not limited to: processing documents, contracts, change orders, billings, billing substantiation, transfers, journal entries, subcontracts, subcontractor invoices, job substantiations, and filing. S/He is expected to meet performance standards set by management and to comply with all company policies and procedures. The Project Accountant reports directly to the Project Accounting Manager.




  • Meet all specified deadlines on assigned job cost related duties.
  • Ensure all substantiation packages are submitted without errors prior to deadline.
  • Maintain 100% accuracy in data entry of invoices and journal entries.
  • Consistently maintain or increase average $ amount (or percentage) overbilled on each responsible project.





The Project Accountant is accountable for the following:

  • Process/open new projects and geographic areas to maintain project cost and revenue budgets.
  • Assist in tracking change order proposals and approved change orders within the accounting system.
  • Process monthly invoices and provide all pay applications and documentation as required.
  • Run monthly meetings with account and project managers to discuss billings, contracts, and change order issues.
  • Follow up with account managers and project managers to try to have projects overbilled by end of month.
  • Order and maintain job-related insurance certificates and any OCIP/CCIP documents.
  • Order payment and performance bonds for required contracts.
  • Process subcontractor invoices and obtain lien releases for projects.
  • Prepare substantiation billing packets, including cost sheets and supporting backup.
  • Balance T&M substantiated cost to job cost history in the accounting system.
  • Review GMP contracts and make suggestions to maximize profit.
  • Initial contract review and flag issue items for risk manager to review.
  • Manage and update spreadsheets for potential sales for multiple account managers.
  • Learn basic trade vocabulary.
  • Create journal entries to transfer costs within phase codes on a project or between projects or between GL codes.
  • Meet multiple monthly deadlines.
  • Assist with providing backup requested by auditors.
  • Maintain positive relations with co-workers, management, office staff, field personnel and customers.
  • Maintain department confidentiality.
  • Assist field crew completing timecards to ensure time is going to the correct project and cost codes.
  • Assist accounts receivable to collect on past due accounts.
  • Participate in cross-training to support other areas in accounting.
  • Understand, accept and support MacDonald-Miller’s Operating Guidelines, Operational Beliefs, and Customer Commitment.
  • Perform additional duties as assigned.
  • Meet multiple monthly deadlines.





The candidate must possess the following knowledge, skills, and abilities:

  • Bachelor’s Degree in Accounting or Business administration, or equivalent experience.
  • Prior accounting experience using an accounting software program preferred.
  • Proficient in using Microsoft products, includes Outlook, Word and Excel. Intermediate/Advanced Excel skills are required.
  • WennSoft/Great Plains experience preferred, but not required.
  • Ability to accurately and calmly handle multiple priorities with interruptions and still meet deadlines.
  • Must be detail-oriented in his/her work ethics.
  • Possess good ten key and keyboard skills.
  • Possess excellent time management skills and ability to prioritize tasks.
  • Willingness to ask questions and offer suggestions on improving work processes and procedures.
  • Possess good written and verbal communication skills.
  • Self-starter.
  • Take pride in one’s work and accept a level of responsibility for his/her professionalism and accuracy.
  • Ability to participate productively in a team environment.
  • History of good employment attendance.
  • Previous construction industry experience is a plus.
  • Knowledge of general accounting practices and procedures.
  • Valid driver’s license and the ability to drive between locations.

  • Reach for, handle, use fingers and manipulate objects
  • Physical requirements include: standing, bending, and sitting; repetitive motions of hands and wrists
  • Frequent computer screen use
  • Must be capable of working extended hour days when job/business needs demand
